Property Services Administrator/Coordinator We Go Beyond for A Safer World Te Tūranga - The Role At Tait Communications, an exciting opportunity awaits in our Operations Team for the position of Property Services Administrator. In this role, you'll play a key part in ensuring the smooth and secure functioning of our Tait facilities, working closely with other members of the Property Services team. Your responsibilities will involve providing essential administrative support on a day-to-day basis, coordinating various tasks related to maintenance, security, and the overall upkeep of our workspaces. This includes organizing visits by external maintenance contractors and ensuring compliance with health and safety regulations. The position will also play a part in coordinating Property Projects by preparing documentation outlining the scope of work to establish requirements in collaboration with internal stakeholders. Throughout the projects, the role will oversee and document the progress to ensure timely and cost-effective delivery. You'll report directly to the Property Services Project Manager. The duties of the role will include but not limited to: Serving as the primary liaison for suppliers and tenants, overseeing internal documentation and providing insightful analysis to monitor performance and ensure adherence to service agreements. Assisting the Facilities Foreperson by sourcing quotes for facility projects and presenting options to the Property Projects Manager as needed. Efficiently managing incoming Property Services job tickets, promptly assigning tasks to team members, and delivering exceptional customer service by promptly acknowledging requests and inquiries. Coordinating the scheduling of day-to-day and cyclical repairs, maintenance, and improvements in collaboration with the Property Project Manager and Facilities Foremen, while also maintaining up-to-date records of maintenance history and cyclical maintenance activities. Maintaining meticulous records of space allocation, asset numbers, and QR code tracking, as well as managing the furniture inventory by exploring purchase options, obtaining quotations, and handling associated CERs for procurement. Ensuring compliance with Health and Safety regulations, including conducting H&S inductions, Toolbox Talks, SSP's, and SWMS, as well as assisting with reporting and ensuring adherence to local regulations and industry standards. Tracking expenditure against the facilities budget and generating regular reports for the Property Project Manager as necessary. Ō pūkenga - About You To excel in this position, candidates with a tertiary qualification in property/facilities management, business administration, or a related field are preferred. Relevant experience in the field will also be considered. As well as: Demonstrated expertise in property and facilities management. Familiarity with facility systems and maintenance procedures.
