Our client is a highly regarded firm of solicitors & advisors who provide a full range of legal services on a personal and professional level. They are currently looking for a Legal Assistant to assist the Legal Advisors by providing legal administrative support in a way that is conducive to enabling them to operate at optimum efficiency. Also, to undertake some drafting straightforward legal documents and proactively assisting clients with a view to gaining clients trust and to taking on basic, repeat instructions from clients direct. Key Duties: • Develop strong client relationships and conduct effective case and transaction management in accordance with client instructions and all appropriate law and practice. • Manage workload effectively and methodically, ensuring deadlines are met. • Draft straightforward legal documents using the precedents provided, filing documents on-line where appropriate and develop skills to deal with more complex transactions. • Open files, prepare and send initial client care letters. • Review client ID documents • Ensure all email correspondence is entered on to the case management system. • Maintain a strict diary note of deadlines and timescales relevant to Legal Advisor(s) matters. • Ensure all photocopying is accurate; take responsibility for checking photocopying done by Office Assistant. • Ensure all post is checked and subsequently signed by the Legal Advisors and that it is ready for collection by the nominated time. • Deal accurately and promptly with the filing of all correspondence and documentation. • Assist the Legal Advisors with any aspect of file management, as requested. • Prepare files for archiving and complete deletion forms promptly. • Attend to clients on the phone and in person, accurately recording any messages and passing on to the appropriate person without delay. • Schedule appointments, arrange meetings, and maintain up-to-date diaries using the appropriate diary function, if requested. • Ensure the confidentiality and security of all practice and client documentation and/or details. • Observe the Firms standards of quality management in all respects. • Undertake any additional duties which from time to time may be requested. Key competencies: • A law graduate or equivalent, who is keen to start their legal career • Excellent IT skills including Microsoft office suite, Outlook, and database administration. • Strong organisational and administration skills with expertise to set up systems to streamline repeat work. • Confident and professional telephone manner. • Expertise to produce documentation for repeat transactions with minimal client input. Necessary skills: • Client focused. • Good people skills with expertise to communicate at all levels. • Courteous and professional. • Willing to work on own initiative.
